Who we are and what this policy covers
Parsa Wellness Clinic Inc. (“Parsa Wellness,” “we,” “us,” or “our”) respects your privacy. This policy explains how we handle personal information when you use parsawellness.com, contact our clinics, submit a booking request through our custom online booking platform at booking.parsawellness.com, submit a gift-card request, pay through a payment link sent by our team, arrange clinic pickup of a physical gift card, or receive services from us.
As a British Columbia clinic, we handle personal information under applicable privacy laws, including British Columbia's Personal Information Protection Act (PIPA). Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) may also apply to particular federally regulated activities or commercial information flows across provincial or national borders. Some third-party services linked from our website have their own privacy practices, described below.
Information we collect
Depending on how you interact with us, we may collect:
- Contact details such as your name, email address, telephone number, and the content of messages you send us.
- Appointment and care information, including booking details, preferences, health history, and information needed to assess, provide, and document clinical services.
- Gift-card request and purchase details, including the value, whether the card is for yourself or someone else, an optional recipient name and personal message, your preferred pickup clinic, date and time, and the status of your request.
- Transaction details, such as payment status and the amount paid. We do not ask you to send payment card numbers to us by email or through a general inquiry.
- Basic technical information that may be recorded when a website is accessed, such as the device and browser used, pages requested, and the time of a request, for operation and security.
Please do not include detailed medical or other sensitive information in a gift-card message, general inquiry, email, text, or social-media message. If you provide someone else's name or information, make sure you have their permission where required. Contact us if you need a suitable way to share it with your care team.
Website analytics
We use Google Analytics to understand how visitors use our website and improve it. Google Analytics uses cookies and similar technologies to collect information such as pages visited and device and browser information. Google processes this information under its own privacy practices. You can manage cookies through your browser settings.
How we use information
We use personal information to:
- Respond to questions and communicate with you.
- Schedule, confirm, and manage appointments.
- Assess your needs, provide care, maintain clinical records, and coordinate with the practitioners involved in your care.
- Review gift-card inquiries, contact the purchaser, send payment links, confirm payment and card approval, arrange physical-card pickup, maintain gift-card balances, and provide purchase support.
- Operate, secure, and improve our website and clinic services, and meet legal and professional obligations.
We do not sell personal information. We use it only for purposes that are reasonable in the circumstances and consistent with your interactions with us, or as otherwise permitted or required by law.
Booking and clinic communications
When you submit your information through an inquiry or booking channel, you consent to our collecting and using it to respond to you and handle the appointment or care you requested, as described in this policy and under applicable privacy law. By providing your contact details, you also authorize the clinic team to contact you by phone or using the other details you provide about that request, including to discuss next steps and confirm or arrange an appointment. We may also contact you about appointment changes, preparation, follow-up, and care coordination.
This contact is limited to your inquiry, appointment, or care. Making an inquiry or booking does not sign you up for unrelated promotional messages. Any optional promotional communications are sent only where permitted by law, and you may opt out using the instructions provided or by contacting us. Privacy-related permission is separate from your consent to receive a treatment or service.
Gift-card requests and payment links
When you submit a gift-card request, we use the details you provide to review and handle that request. Our team contacts the purchaser using the supplied contact details, including to send a payment link and confirm card approval and pickup. A request for someone else does not sign the recipient up for marketing.
Gift-card inquiries are stored in a cloud database and accessed by authorized clinic staff through our administration tools. Service providers support database hosting and transactional email delivery. Online payments are processed by the payment service identified in the link sent by our team, under that provider's privacy practices. The gift-card request form does not collect payment-card numbers. Do not include card numbers in the form or send them by email; enter payment details only through the payment service.
When information is shared
We limit access to personal information to people and organizations that need it for the purposes described in this policy. This can include our practitioners and authorized team members, and service providers that support the website, clinic, or patient care. Our custom online booking platform at booking.parsawellness.com receives booking requests, and the booking information you submit is stored and processed by a third-party cloud database provider on our behalf. Our team reviews the booking details and may contact you about your request. When you agree to proceed with an appointment, our team manually creates your patient record in TELUS Health's TELUS Collaborative Health Record (TELUS CHR), our electronic medical record system, and enters relevant booking and care information there. Other service providers support our website and gift-card functions, including email delivery.
TELUS also publishes privacy and consent information for TELUS CHR apps and products. Other payment and email services, where used, handle information under their own service terms and privacy practices.
If you contact us through WhatsApp or a social-media platform, that platform also handles information under its own privacy practices.
We may also disclose information when necessary to comply with law, respond to a lawful request, protect a person's safety, or protect our rights and the security of our services. We do not share personal information with another organization for its own marketing without appropriate consent.
Service providers may process or store information in locations outside British Columbia or Canada. Where that happens, the information may be subject to the laws of those locations.
Clinical records and retention
Health information collected while providing care is treated as confidential. Patient records are maintained in TELUS CHR and are accessed by practitioners and authorized team members who need the information to support your care or clinic operations. We retain clinical, transaction, and other records for as long as needed for the purposes for which they were collected and to meet applicable legal, professional, insurance, and accounting requirements. When information is no longer needed, we take reasonable steps to securely dispose of it or remove identifying details.
Safeguarding your information
We use administrative, physical, and technical safeguards appropriate to the sensitivity of the information we hold. No website, email transmission, or electronic storage method can be guaranteed to be completely secure, so please use care when sending sensitive information electronically.
Your choices and privacy requests
You may ask us to access or correct personal information we hold about you, or ask a question about how it is handled. You may also withdraw consent for future collection, use, or disclosure where consent is the basis for that handling. Some information must be kept or used to provide care or meet legal obligations, so a request may be subject to those requirements.
To make a request, contact us using our Contact page. Please tell us what information or request you are referring to, but do not include sensitive health details in an ordinary email. For privacy concerns, email info@parsawelness.com or call (604) 770-4816. If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia.
Changes and questions
We may update this policy as our services or privacy practices change. The current version will be posted on this page with its updated date. For questions about this policy or our privacy practices, please use the Contact page.
